Quick Guide: TPA Portal

Welcome to the Third-Party Agreement (TPA) Portal! This portal was designed to securely, seamlessly, and straightforwardly process the data agreement lifecycle between a Data Customer (Licensee), a Third Party (Data User), and us as the Data Provider (Licensor).

1. Instructions for Data Customers (Licensee)

As a Data Customer, you originate the request. You act as the primary project sponsor for this contract. During the process, the system delegates the agreement compilation and final signature to the Third Party automatically.

Step 1: Start the Process (Submit Request)

  • Navigate to the homepage of the portal.
  • Fill out the primary form. You will be asked to provide the following details:
    • Your Company Details: Company name, exact address, and your contact info.
    • Third Party Details: Company name, address, and the primary contact associate (including their email address) responsible for the provided datasets.
    • Project Details: Description of your project, target audience, and the exactly planned usage timeframe for the data.
  • Review your data and submit the form. The system will document your request.

Step 2: Verify Your Email (Double Opt-In)

  • Immediately after submission, you will receive an automated verification email to the address you provided.
  • Click on the confirmation link found within that email. Only upon this verification will the system reach out to the Third Party.

Step 3: Await Confirmation from the Third Party & Internal Review

  • After verifying your email, there is no further action required from your side at this moment.
  • The portal will send the Third Party a secured link. They must use it to declare their competitive status and agree to the basic circumstances.
  • Once the Third Party confirms, our Administrators will review the provided details and approve them, allowing the contract to be compiled.

Step 4: Await the Third Party's Signature

  • Following the internal approval, the system will merge your details into a finalized, personalized TPA document.
  • The system will then email the Third Party, instructing them to download the contract, sign it legally, and re-upload the signed copy.
  • Again, you are not required to act; you simply wait for the final process conclusion.

Step 5: Completion & Archiving

Once the Third Party successfully uploads the signed contract to the system, the process is completed. Both parties (you and the Third Party) will promptly receive a final email confirmation that includes the countersigned TPA document serving as proof for your company's records.

Automatic Reminders

If a process step remains unattended for an extended period, the portal will automatically send reminder emails to the responsible party. Additionally, all parties involved will receive timely notifications before the agreed usage period expires, including information about possible renewal and contractual data deletion obligations.

2. Instructions for Third Parties (Data User)

As a Third Party, you hold a central role in this process: You are the entity actively working with the data we provide. Thus, the portal first requires your professional confirmation of the scope, and subsequently requires you to execute the binding Third-Party Agreement (TPA). The initial application relies on the Data Customer.

Step 1: Receive the Invitation

  • You will receive a strictly automated Email, triggered because a Data Customer nominated you to use our data for their project.
  • This email contains a secure, personalized link. Click on it to access the portal directly. No password login is necessary.

Step 2: Review & Confirm Information

  • Once you arrive on the portal page, review the summary containing the details previously supplied by the Data Customer (Company names, addresses, and the anticipated project timeframe).
  • Truthfully select your current Competition Status from the dropdown menu (e.g., "No competition", "Data analytics", etc.). This mandatory field is legally required for contract compilation.
  • Check the Confirmation Checkbox at the bottom to declare that you agree with the terms of use and stipulations set forth within this project framework.
  • Click "Submit".

(Your initial input for this portal is now completed. The request undergoes approval next.)

Step 3: Download and Legally Sign the Contract

  • Once our Licensor grants internal approval, the system generates a finalized, personalized TPA document.
  • Subsequently, you will receive an email containing a secure link, notifying you that the agreement is ready for signature.
  • Click the link within this email to access a dedicated secure page for finalization.
  • On the page, download the generated PDF document.
  • Verify the details outlined within the document.
  • Have the contract signed by an authorized signatory representative of your company (either physically signed & scanned, or via validated digital signature).
  • Return to the web page via the link and upload the final signed document into the system.

Step 4: Completion & Archiving

Once your upload verifies within the system, the process is definitively finalized. Both you and the Data Customer will promptly receive a confirmation email enclosing the final TPA document as proof for your business records.

Automatic Reminders

If you do not respond to a portal request (e.g., confirmation or contract signing) in a timely manner, you will automatically receive a friendly reminder email after a few days. Before the usage period expires, all parties involved will also be notified in advance about the upcoming end date.
